Phase 06 of 09 10–24 weeks (overlaps with construction)
Procurement & Supply Chain Management
Turning the equipment plan into contracts, shipments and on-site receiving
Overview
What this phase accomplishes
A great equipment plan still has to be procured, shipped and received without breaking the budget or the schedule. Phase 06 runs the commercial and logistics side end-to-end — one accountable owner from purchase order to consignee dock.
What we deliver
- Vendor selection from the Phase 05 shortlist, with commercial negotiation against the locked technical scope
- Technical evaluations comparing final OEM offers on parameters, accessories, training, warranty and service tiers
- Budget optimization across the equipment plan with reallocations as construction reality intersects with quotation reality
- Procurement management — purchase orders, payment milestones, manufacturing-progress reviews, factory acceptance tests
- Logistics coordination consolidating shipments by mode (air, sea, road) and arrival window per the construction sequence
- Customs support with HS classification, certificates of origin, free-sale documentation and import licenses for medical devices
- Delivery planning with on-site receiving choreography, lay-down area allocation and rigging plans for heavy equipment
Challenges this phase resolves
Where projects typically fail — and how we fix it
Common pitfall
Equipment arrives before the room is ready, sits in storage and the warranty clock starts ticking
How we solve it: Shipment windows are aligned to construction milestones — equipment lands when the room receives it
Common pitfall
Customs delays at the border destroy the install schedule
How we solve it: Customs documentation is prepared before the shipment leaves the factory; medical-device import licences are pre-secured
Deliverables
What the client receives at the end
Every phase exits with concrete artifacts. These deliverables become inputs to the next phase, the project record for the client, and the evidence base for regulators and investors.
- 01Consolidated purchase-order package
- 02Factory acceptance test reports per major equipment line
- 03Shipment schedule with arrival windows
- 04Customs and import-licence documentation
